Summary
The Export Logistics Coordinator is responsible for coordinating export sales orders and ensuring accurate and timely international shipments. The role manages export order scheduling, allocation and release, backorder fulfillment, freight-forwarder coordination, export documentation, shipment tracking, compliance activities, and special projects. The position requires strong attention to detail, organization, communication, mathematical and problem-solving skills, the ability to manage multiple priorities independently, and proficiency in Microsoft Office.
Responsibilities
- Manage and communicate shipping schedules for export sales orders to maintain efficient process flow through picking, quality control, and packing.
- Monitor, allocate, and release export orders to the floor in a timely manner.
- Monitor stocked items for backorder fulfillment.
- Request and document booking information from freight forwarders and maintain transportation instructions and charges on customer orders.
- Prepare export shipment documentation, including commercial invoices, packing lists, certificates of origin, and shippers’ letters of instruction.
- Verify the compliance and accuracy of Bills of Lading, Airwaybills, Inland/Straight Bills of Lading, Shippers’ Export Declarations, and other documents required for international product movement.
- Coordinate samples and provide required export documentation.
- Liaise with International Customer Service and freight forwarders regarding pickup, transportation, and delivery of international orders.
- Track containers and orders using appropriate internal and external systems.
- Perform compliance self-assessment audits and implement corrective actions as needed.
- Assist with special projects such as duty drawback and freight tenders.
- Keep the work area clean and organized.
- Perform other duties as assigned.
Required Skills
- High school education or equivalent required.
- Degree preferred but not required.
- Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
- Excellent attention to detail, particularly when handling critical documentation.
- Ability to manage multiple tasks, establish priorities, and meet deadlines.
- Strong oral and written communication skills.
- Strong organizational, mathematical, and problem-solving skills.
- Ability to communicate openly and honestly.
- Self-starter with the ability to learn and work independently.
- Knowledge of general business computer software and aptitude to learn new software applications.
- Ability to review, prepare, and maintain accurate export and shipping documentation.
- Ability to coordinate effectively with internal teams and external freight-forwarder partners.
- Ability to support compliance activities and implement corrective actions.
