Tedford Housing is seeking a dedicated and professional Front Desk Receptionist to join our team at our new emergency housing building in Brunswick, Maine. The Front Desk Receptionist will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
The ideal candidate will have excellent communication and customer service skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced setting. This position also requires sound judgment and composure when assisting individuals who may be experiencing emergencies or seeking housing-related support. Multitasking and stress management skills are essential for this position.
This is a 40-hour a week, benefitted position, with a pay rate of $25 per hour.
Typical hours will be Monday through Friday from 7:45 am to 4:15 pm, with a 30 minute lunch break.
Typical Duties of the Receptionist will include, but are not limited to, the following:
- Greeting, welcoming, directing, and announcing visitors in a warm and professional manner
- Answering, screening, and forwarding incoming phone calls
- Handling incoming and outgoing mail and deliveries
- Performing clerical duties such as filing, photocopying, faxing, and data entry as needed
- Providing basic and accurate information to clients and visitors in-person and via phone/email
- Communicating promptly with shelter and program staff regarding client or visitor needs
- Updating and maintaining community room calendar and other shared scheduling tools
- Assisting in providing quality service to clients
- Ensuring visitor logs are completed and security procedures are consistently followed
- Maintaining confidentiality and professionalism when handling sensitive client or organizational information
Qualifications and Skills:
- 2-3 years of experience in an office environment, particularly in a receptionist or administrative role.
- Bachelors degree preferred
- Excellent customer service skills with a focus on building positive relationships with clients and visitors
- Computer literacy is required, with knowledge and understanding of Microsoft 365 products
- Strong listening, oral, phone and written communication skills
- Ability to take initiative and act effectively in various circumstances without direction, managing your time well
- Ability to maintain composure and deal calmly with stressful situations
- Strong organizational skills with the ability to prioritize tasks effectively
