Job Overview
We are seeking a highly organized and personable Front Desk Receptionist to join our team. In this role, you will be the first point of contact for our members and visitors, providing exceptional customer service while managing a variety of administrative tasks. The ideal candidate will possess strong communication skills, proficiency in office management software, and the ability to multitask effectively in a fast-paced environment.
Responsibilities
- Greet and assist clients and visitors in a friendly and professional manner.
- Maintain an organized front desk area, ensuring it is welcoming and presentable at all times.
- Perform data entry tasks accurately, including managing client records and appointment scheduling.
- Handle filing, proofreading documents, and maintaining office supplies inventory.
- Assist staff with photocopies, accessing needed supplies, and providing support to potential DSP hires during the application process.
- Answer questions and address complaints.
- Setting up conference room for training and functions for the agency.
- Answer all incoming calls and redirect them or keep messages.
- Receive letters, packages etc. and distribute them to appropriate areas.
- Prepare outgoing mail by drafting correspondence, securing parcels etc.
- Check, sort, and forward emails, or assist with proof-reading, (only if asked by management.)
- Monitor office supplies and take to assigned procurement individual for order.
- Keep updated records and files.
- Maintain appointments and scheduled meetings for management.
- Take up other duties as assigned (travel arrangements, schedules etc.)
- Speak with Directors and other management before directing people to their offices.
Qualifications
- Previous experience in a front desk or receptionist role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is essential.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent phone etiquette and customer service skills are required.
- Familiarity with clerical duties such as filing, data entry, and administrative experience is advantageous.
- Strong typing skills with attention to detail for accurate documentation and communication.
