Position Overview
The Executive Assistant serves as the right hand to the Chief Executive Officer, providing high-level administrative, operational, and strategic support. This role requires exceptional organization, discretion, and adaptability, with the ability to anticipate needs, streamline priorities, and represent the CEO and company professionally across a variety of business, community, and philanthropic settings.
The Executive Assistant plays a central role in coordinating the CEO’s communications, calendar, community engagement, and partnership efforts, ensuring alignment and balance between Techworks’ internal goals and CEO’s external initiatives through The Christopher A. Coluccio Foundation and affiliated community organizations, like MacArthur Business Alliance (as an example).
Primary ResponsibilitiesExecutive Support & Operations
- Manage and optimize the CEO’s daily schedule, travel, appointments, and strategic priorities.
- Proactively monitor and manage communications (email, phone, text, CRM), flagging time-sensitive items and drafting correspondence as needed.
- Attend meetings with or on behalf of the CEO; capture detailed notes, action items, and follow-through tasks.
- Coordinate cross-departmental alignment, ensuring the CEO’s priorities are reflected in company operations, events, and initiatives.
- Oversee documentation and entry of the CEO’s activities, meetings, and billable/non-billable time in ConnectWise.
- Manage confidential and sensitive information with discretion and sound judgment.
- Conduct light research, prepare briefs, and support presentations, speaking engagements, and partnership proposals.
Project & Event Coordination
- Assist in planning and executing internal and external events, meetings, and conferences involving Techworks leadership, clients, and community partners.
- Support logistics, communication, and coordination for key company initiatives, including philanthropy, education, and community outreach.
- Collaborate on event materials, talking points, and follow-up communications to ensure strategic alignment and brand consistency.
Community Engagement & Philanthropy
- Serve as a liaison between CEO & Techworks, and community organizations including The Christopher A. Coluccio Foundation, the MacArthur Business Alliance, and other local nonprofit and business groups that CEO &/or Techworks are involved with.
- Support the CEO’s leadership and participation in charitable boards, advisory committees, and fundraising initiatives.
- Coordinate sponsorship commitments, donation logistics, and volunteer participation for company-affiliated philanthropic events.
- Develop and maintain strong relationships with external stakeholders, event partners, and community leaders.
Communications & Brand Representation
- Prepare and edit professional correspondence, announcements, and executive-level communications.
- Maintain alignment between Techworks’ mission, philanthropic initiatives, and community messaging.
- Support the CEO’s professional brand presence, including LinkedIn updates, press releases, and event representation.
Administrative Excellence
- Manage expense reporting, mileage logs, and reimbursement processes.
- Maintain and update contact databases, files, and CRM entries.
- Handle personal assistant duties and errands as needed to ensure the CEO’s efficiency and work-life balance.
- Perform other related duties as assigned to support company and CEO priorities.
Requirements
- Reliable transportation and valid driver’s license.
- Full-time availability during standard business hours (8:30am–5:30pm) with flexibility for after-hours events or travel as required.
- Advanced organizational and time-management skills with strong attention to detail.
- Excellent written and verbal communication skills; ability to interact with executives, clients, and community leaders.
- Familiarity with technology and IT services (experience with ConnectWise a plus).
- High degree of professionalism, discretion, and initiative.
- Ability to handle multiple projects simultaneously and adapt to shifting priorities.
- Proficiency in Microsoft 365, Google Workspace, and other management tools (SignNow, Docusign, etc.).
