About the Role
Tax Network USA is seeking a professional, organized, and proactive Administrative Assistant / Office Coordinator to support our Nashville office and work directly with the owner. This is a hands-on role for someone who enjoys keeping an office running efficiently, managing a variety of responsibilities, and taking initiative to solve problems.
No two days will be exactly the same. One day you may be coordinating schedules, ordering office supplies, and communicating with building management, while another day you may be assisting with administrative projects, preparing documents, or handling phone calls and correspondence. We're looking for someone who enjoys variety and takes pride in being the person others can rely on to keep things organized.
Responsibilities
- Provide day-to-day administrative support to the owner.
- Manage calendars, appointments, and scheduling.
- Prepare, organize, and maintain electronic documents and records.
- Perform accurate data entry and maintain organized files.
- Coordinate with building management regarding maintenance requests and office needs.
- Order and maintain office supplies and equipment.
- Answer and direct incoming phone calls professionally.
- Draft emails, letters, and other business correspondence.
- Coordinate meetings and assist with meeting preparation.
- Assist with office projects and general administrative support.
- Maintain organized digital files using Google Workspace.
- Communicate professionally with vendors, business partners, and visitors.
- Identify administrative needs and proactively help improve office operations.
- Perform other administrative duties as assigned.
Qualifications
- 2β4 years of administrative assistant, office coordinator, executive assistant, or similar office support experience preferred.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Professional, dependable, and self-motivated.
- Strong problem-solving skills and willingness to take initiative.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, and Drive).
- Microsoft Office experience is a plus.
