We are seeking an experienced Payroll Manager to fully own payroll operations for a single U.S. legal entity (~140 employees) across approximately two dozen states. This is a hands-on role with no additional payroll staff—you will be the sole individual responsible for payroll processing, reconciliations, and compliance.
The role requires a seasoned professional who can manage payroll end-to-end, implement and follow strong payroll controls, and independently interact with auditors, regulators, and benefit providers.

We are seeking an experienced Payroll Manager to fully own payroll operations for a single U.S. legal entity (~140 employees) across approximately two dozen states. This is a hands-on role with no additional payroll staff—you will be the sole individual responsible for payroll processing, reconciliations, and compliance.
The role requires a seasoned professional who can manage payroll end-to-end, implement and follow strong payroll controls, and independently interact with auditors, regulators, and benefit providers.
This Role Includes Two Components
- Project-Based Work (First 3 Months – Full Time):
- Prepare for the upcoming 401(k) audit
- Reconcile YTD 940/941 filings vs. payroll registers
- Investigate and resolve historical 401(k) funding discrepancies
- Ongoing Payroll Support (Long-Term – Part Time):
- Beyond the project phase, we anticipate a continued need for 2–3 full days every other week, aligned with our bi-weekly payroll processing schedule.
- Additional hours to support annual benefits audit and W-2 preparation & issuance
Bi-Weekly Payroll Operations
- Manage and execute bi-weekly payroll for ~140 employees across 25 states
- Review, validate, and reconcile payroll data (new hires, terminations, compensation changes, deductions, garnishments)
- Ensure compliance with federal, state, and local tax regulations
- Process and reconcile payroll registers with payroll funding, direct deposits, and third-party payments with accuracy and timeliness
- Maintain detailed documentation and audit trail in accordance with internal controls
- Reconcile YTD 940/941 tax filings against payroll register totals
- Prepare schedules, reconciliations, and supporting documentation for upcoming 401(k) audit
- Resolve historical discrepancies between payroll deductions and 401(k) funding
- Ensure accurate 401(k) contributions and allocations for each payroll cycle
- Partner directly with state tax agencies on payroll tax registrations, account maintenance, and issue resolution
- 7 years of U.S. payroll experience with proven ownership of full-cycle, multi-state payroll
- Prior experience as the primary or sole payroll manager in an organization of similar size or complexity
- Strong knowledge of payroll controls, compliance, and reporting (940, 941, W-2, 401(k))
- Demonstrated experience supporting or leading 401(k) audits
- Expertise in resolving complex funding and reconciliation discrepancies
- Proficiency in at least one mid-market payroll platform (e.g., ADP, Paylocity, Paycom, Workday, etc.)
- Exceptional attention to detail, ability to operate independently, and strong problem-solving skills
- Prior experience handling state payroll tax registrations in multiple jurisdictions
- Background in startup, fintech, or SaaS environments
