The Financial Advisor Assistant plays an important role in setting the tone for our organization. As the first and last person clients see when they are in the office, you are instrumental in making sure clients have the best experience possible. This role is diverse and has a number of aspects, including general administrative duties, managing our phone and in person client correspondence with kindness and professionalism, maintaining accurate client records within the CRM, and processing paperwork. You are someone who can confidently manage multiple calendars, navigate and anticipate changes, and coordinate across multiple tasks, all while ensuring nothing is missed or miscommunicated. This position requires discretion, strong attention to detail, and the ability to manage multiple priorities with minimal supervision, keeping communication clear and details organized. We are looking for someone tech-savvy who enjoys supporting others and brings kindness and thoughtfulness to their work. This role can expand over time, but we are hoping you truly enjoy this type of work and will be excited to continue it for several years. We are happy to train someone from outside of our industry as long as you bring a caring and nurturing approach to working with people.
Responsibilities:
- Serve as the first point of contact, greeting clients in person, by phone, email, and video in a warm and friendly manner
- Initiate and track client paperwork and account transactions efficiently (e.g., new and existing account processing, transfers, contributions, payment processing, etc.)
- Follow up on pending business with companies and clients
- Complete various industry-specific administrative tasks within established filing and paperwork timelines
- Maintain accurate and up-to-date CRM and client data
- Ensure all client inquiries and concerns are addressed promptly and resolved in line with expected service levels
- Provide pre- and post-meeting support for financial advisors
- Conduct thorough research and deliver high-quality problem solving and issue resolution
- Ensure business flow and communication expectations are consistently met
- Manage financial advisor calendars, including scheduling appointments and meetings as needed
- Assist in monitoring financial advisor emails, calls, and communications as needed
- Build and maintain strong working relationships with financial advisors, internal team members, and vendors to support high-quality client service
- Assist with other duties and projects, marketing initiatives (client cards/gifts, planning events, social media/website content) and operational follow-up items as assigned
The ideal candidate:
- High School Diploma or GED required; Bachelor’s degree in business administration, finance, or a related field preferred
- 2 years of proven professional experience in administrative support and client service required
- Strong technology skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and CRM required
- High level of professionalism and confidentiality, with a strong attention to detail
- Excellent interpersonal, written, and verbal communication skills
- Highly organized and adaptable, with the ability to multitask and shift between responsibilities throughout the day
