Overview
The firm is seeking a detail-oriented Docket Specialist to support the management of case deadlines and filings across patent, trademark, and litigation matters. This position is responsible for accurately reviewing correspondence, identifying key action items, and entering all relevant case details and due dates into the firm’s docketing system. The ideal candidate has strong knowledge of U.S. and international intellectual property procedures, excellent organizational skills, and the ability to work efficiently in a deadline-driven environment.
Responsibilities
- Review incoming correspondence and identify appropriate docketing action types and due dates in accordance with U.S. and international patent, trademark, and litigation rules
- Process incoming mail and docket due dates in the firm’s docketing system based on confirmed USPTO/PTAB/TTAB filings or client/foreign associate instructions
- Assist with new, original, and transfer-in matters by entering accurate and complete data into the docketing database
- Ensure timely clearance of docketed items and adherence to established firm procedures
- Identify discrepancies or issues in filings or PTO correspondence and work to resolve them promptly
- Communicate effectively with attorneys, paralegals, and support staff regarding docket updates and upcoming deadlines
- Use the firm’s fax server system to correctly identify, docket, and route incoming faxes
- Provide coverage during holidays as needed
- Perform other related duties and special projects as assigned
Requirements
- Associate degree and a minimum of 2 years of relevant docketing experience required
- Extensive knowledge of U.S. and foreign patent, trademark, and litigation rules and procedures
- Experience with Computer Packages Inc. (CPi) or other docketing software preferred
- Proficiency in Microsoft Office Suite and general computer applications
- Demonstrated accuracy, attention to detail, and organizational skills
- Ability to prioritize multiple tasks, meet frequent deadlines, and work effectively under pressure
- Strong written and verbal communication skills with excellent spelling and grammar
- Self-motivated with the ability to work independently and with minimal supervision
- Flexible and adaptable, with a willingness to take on changing assignments and learn new responsibilities
