Position: Medical Records TechnicianLocation: Providence, RI (Hybrid)Position SummaryThe Medical Records Technician is responsible for maintaining accurate, organized, and confidential patient health information in compliance with state and federal regulations. This role supports clinical and administrative teams by ensuring timely access to documentation essential for coordinated, multidisciplinary patient care.Key ResponsibilitiesMaintain and Update Patient Records:Organize, review, and update patient charts and electronic health records (EHR) to ensure accuracy, completeness, and compliance with organizational standards.Process Requests for Information:Manage internal and external medical record requests, ensuring all releases comply with HIPAA, Rhode Island Workers’ Compensation requirements, and internal policies.Data Entry and Documentation:Accurately enter patient demographics, treatment notes, and provider documentation into the EHR system.Quality Assurance:Audit records for missing, incomplete, or inconsistent information and follow up with clinical staff as needed to maintain high-quality documentation.Record Retrieval and Filing:Retrieve, file, and archive patient records according to retention schedules and regulatory guidelines.Release of Information (ROI):Verify authorizations, prepare records for release, and document disclosures in compliance with privacy regulations.Support Multidisciplinary Operations:Assist care coordinators, behavioral health, PT/OT, vocational services, and administrative teams by providing timely access to patient information for treatment planning, discharge coordination, and case management.Compliance and Confidentiality:Maintain strict confidentiality of patient information and adhere to HIPAA, state regulations, and organizational policies at all times.QualificationsHigh school diploma or equivalent required; associate degree in Health Information Technology or a related field preferredPrior experience working with electronic health record (EHR) systems preferredKnowledge of medical terminology, HIPAA regulations, and healthcare documentation standardsStrong organizational skills and attention to detailAbility to work efficiently in a fast-paced, multidisciplinary environmentExcellent communication and customer service skillsPreferred SkillsExperience in a rehabilitation, outpatient, or workers’ compensation settingFamiliarity with release-of-information (ROI) processes and Rhode Island medical record regulations
