The Surgery Scheduler is a key member of the healthcare team responsible for coordinating surgical cases, managing pre- and post-operative appointments, and ensuring all patient and provider needs are met efficiently. This role requires a detail-oriented professional with strong communication and organizational skills who can manage multiple surgical schedules and maintain a smooth workflow between departments.Minimum RequirementsEducation: High School Diploma or GEDExperience: Minimum of 1 year of surgery or procedure scheduling experienceSkills: Strong communication, attention to detail, and multitasking in a fast-paced environmentPreferred Qualifications:Previous experience as a Patient Service Representative (PSR) or Medical Assistant (MA)Familiarity with electronic health record (EHR) systems and insurance authorization processesKey ResponsibilitiesAs a Surgery Scheduler, coordinate and schedule all surgeries, including pre-op and post-op appointmentsVerify insurance coverage, obtain procedure authorizations, and secure necessary medical clearances for surgical patientsSchedule and confirm all pre-operative studies, diagnostic testing, and operating room timesReview surgery details and educational requirements with patients as directed by the physicianServe as the primary contact and liaison between the patient, provider, and clinical teams to ensure seamless surgical coordinationEnsure all special equipment and materials requested by physicians are available and confirmed before the procedureRespond to patient inquiries, provide excellent customer service, and escalate issues to supervisors as neededMaintain and update patient charts, demographics, and insurance information to ensure scheduling accuracyManage referrals, authorizations, and physician correspondence, including calendars, forms, and documentationWork collaboratively with billing and administrative staff to ensure all required surgical documentation is submitted correctlyCommunicate with workers’ compensation adjusters and case managers to track authorizations and necessary recordsProvide additional administrative or clinical support as needed to maintain departmental efficiencyVaccination Requirements: flu vaccine is required (no exemptions allowed)Surgery Scheduler, Procedure Scheduler, Patient Care Coordinator, Surgical Coordinator, Pre-Op Scheduler, OR Scheduler, Patient Access Representative, Medical Scheduler, Scheduling Coordinator, Patient Services Representative, Surgical Services Coordinator, Outpatient Scheduler.
