Project Coordinator
This role supports a growing service organization in the HVAC industry by coordinating maintenance schedules, supporting service operations, and ensuring projects and service agreements are executed efficiently. The position plays a key role in organizing workflows, supporting field teams, and maintaining accurate service records in a fast-paced environment.
Responsibilities:
* Coordinate and oversee preventive maintenance schedules for HVAC service agreements, including tracking and documentation.
* Maintain detailed records of customer equipment, service history, warranties, and site-specific requirements.
* Provide scheduling and logistical support for service technicians, subcontractors, and project teams.
* Monitor active service and project work orders to support timely completion and proper closeout.
* Assist with dispatch coordination, schedule adjustments, and day-to-day service administration.
* Communicate job status updates to internal teams, vendors, and customers as needed.
* Ensure service and project documentation remains accurate, organized, and up to date.
* Identify scheduling conflicts or resource gaps and escalate issues appropriately.
* Support ongoing improvements to service coordination processes and administrative workflows.
Requirements:
* Availability to work onsite Monday through Friday, 8:00 AM - 5:00 PM.
* Experience in service coordination, maintenance administration, project support, or a related operational role.
* Exposure to HVAC, mechanical service, or maintenance-based environments preferred.
* Strong working knowledge of Microsoft Office and service scheduling or management systems.
* Ability to manage multiple priorities and adjust to changing schedules in a fast-paced environment.
* Clear written and verbal communication skills.
* Strong organizational skills with close attention to detail.
* Ability to work independently while supporting cross-functional teams.
* Comfortable handling time-sensitive tasks and coordinating operational activities.
