This role supports a fast‑paced terminal and maintenance operation by providing administrative and coordination support to technical and operational teams. The Administrative Assistant plays a key role in organizing documentation, entering service data, coordinating with internal departments, and interfacing with customers. Responsibilities:
* Enter maintenance, repair, and estimate information into internal systems and third-party portals accurately.
* Support maintenance personnel by processing documented work orders and service records.
* Coordinate with internal departments to ensure timely and accurate information flow.
* Communicate professionally with customers, agents, and vendors to provide general assistance.
* Maintain organized digital and written records related to repairs and administrative activities.
* Review entries for accuracy and completeness.
* Provide courteous customer support in a high-activity environment.
* Learn and apply basic maintenance and repair terminology to daily tasks.
Requirements:
* Ability to work in a fast-paced, safety-conscious, and drug-free environment.
* Strong customer service, organizational, and communication skills.
* High attention to detail with the ability to problem-solve and follow tasks through to completion.
* Proficiency with Microsoft Word, Excel, Outlook, and Teams; ability to quickly learn internal systems.
* Ability to coordinate with internal departments, customers, agents, and vendors.
* Professional demeanor and positive, team-oriented attitude.
* Ability to obtain a Transportation Worker Identification Card (TWIC).
* Availability to work first shift hours: 8:00 AM-4:00 PM or 9:00 AM-5:00 PM.
Preferences:
* Prior administrative experience in logistics, terminal, or industrial environments.
* Supervisory or lead administrative experience.
Compensation:
* Salary negotiable and commensurate with experience.
