Human Resources and Operations Manager
Swoon is seeking an experienced and proactive HR Operations Manager to lead our HR Operations function and ensure seamless, compliant, and high-quality experience for employees. This role is central to building a best-in-class global HR operation, maintaining compliance, driving efficiency, and supporting a strong, engaging culture.
The ideal candidate excels in fast-paced environments, is detail-oriented, compliance-focused, and passionate about improving efficient processes that support a growing organization. This role will:
- Serve as the primary escalation point and coverage resource for contractor onboarding, ensuring alignment with client compliance requirements and on-time start dates
- Own successful and on-time completion of client onboarding audits, maintaining an annual passing score above 95%
- Manage and delegate ownership of HR shared inboxes, ensuring employee and contractor inquiries related to onboarding, HR policies, and benefits are responded to within 24 business hours
- Review, manage, and ensure enrollment accuracy and annual compliance for Swoon’s health benefit programs across the U.S., Canada, and Mexico, as well as Swoon’s 401(k) Plan
- Lead, coach, and develop a team of HR Coordinators and HR Specialists, providing ongoing guidance, feedback, and development support
- Drive special projects focused on improving efficiency, strengthening compliance, and building a top-notch global HR Operations team
- Own the internal employee lifecycle, including onboarding new hires, delivering required HR trainings, supporting leaders with performance management, and managing terminations and exit interviews
- Provide weekly and monthly reporting on HR team goals, performance, and on-time project completion, taking a proactive managing-up approach with leadership
- Actively engage in and support Swoon’s culture by planning, coordinating, executing, and attending company events across all offices
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent experience
- 5 years of HR Operations or HR Generalist experience, including at least 2 years in a people leadership role
- Strong knowledge of HR compliance, onboarding workflows, and operational best practices
- Experience supporting multi-country HR programs, with the U.S., Canada, and Mexico preferred
- Excellent communication, organizational, and problem-solving skills
- Proven ability to manage high-volume workflows and drive continuous process improvement
- Ability to work onsite in Chicago Monday through Wednesday

Salary : $80,000 - $95,000
