Overview
We are seeking a detail-oriented and organized Office Clerk to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires excellent communication skills, a strong ability to multitask, and proficiency in office software. The Office Clerk will be the first point of contact for visitors and clients, making professionalism and customer service essential.
Duties
- Answer phones and monitor voicemail to direct calls and messages to appropriate personnel and handle basic inquiries.
- Prepare payments of all accounts payable, including paper checks and EFT payments using online accounts.
- Enter data from all purchase orders including bills, invoices and credit card charges, maintaining the filing of all purchase orders and receipts.
- Be responsible for creating/mailing all monthly invoices including resident rent, UPCAP, DHHS, UPHP invoices.
- Utilize QuickBooks for basic accounting tasks as required, including invoicing and expense tracking.
- Be responsible for creating and maintaining customers and vendors in QuickBooks.
- Process vendor checks bi-weekly and as needed.
- Record and monitor incoming ACH deposits.
- Receipt all incoming payments, record them in QuickBooks and prepare deposits on an as-needed basis.
- Additional duties assigned by the Executive Director and SHSS Board of Directors.
Skills
- Proficient in data entry with attention to detail to minimize errors.
- Excellent organizational skills to manage multiple tasks efficiently.
- Effective phone etiquette for clear communication.
- Familiarity with office management practices to support daily operations effectively.
- Experience with QuickBooks is a plus but not mandatory; willingness to learn is essential.
- Proficient in Google Workspace applications (Docs, Sheets, Drive) for collaborative work environments.
Job Type: Part-time
Pay: $17.00 - $18.00 per hour
