Job Summary:

The Teardown Clerk reviews and prepares completed vehicle deal jackets, making sure every piece of paperwork is accurate and in place before the deal moves on to accounting, title processing, and lienholder submission. This role is a key checkpoint in the sales process, helping ensure deals close cleanly, comply with lender and state requirements, and keep moving without delays.

Key Responsibilities:

• Review completed deal jackets for accuracy and completeness before routing to accounting and title processing
• Assemble trade jacket paperwork, including odometer statements, registration, power of attorney, and payoff or title documents
• Prepare and process lienholder documentation (contracts, credit applications, bills of sale, disclosures, proof of insurance) to each lender's specific requirements
• Create direct liens and letters of guarantee, following state-specific procedures for Arkansas, Missouri, Texas, Oklahoma, Kansas, and Tennessee deals
• Process e-contracts accurately, including assignment forms and required lien filings
• Build and organize Mother Deal files in the correct sequence, confirming signed delivery agreements and arbitration notices are in place
• Route warranties, GAP coverage, and other add-on paperwork to the correct administrator or department
• Prioritize deal processing based on lender turnaround requirements to keep deals moving efficiently
• Maintain organized physical and digital deal records, coordinating with sales, finance, and lenders as needed

Qualifications & Requirements:

• Strong attention to detail and organizational skills; comfortable managing multiple deal files and deadlines at once
• Ability to follow detailed, state-specific procedures accurately and consistently
• Prior experience with dealership paperwork, titles, or lien documentation a plus; full training provided
• Solid communication skills to coordinate with lenders, accounting, and other departments
• Comfortable with basic office software and dealership management systems; CDK experience a plus
• High school diploma or equivalent required
• Successful completion of a background check and pre-employment drug screening required
