- Answer multi-line phone systems promptly and courteously, directing calls efficiently to appropriate departments or personnel
- Manage appointment scheduling and calendar management using tools like Google Workspace or Microsoft Office applications
- Handle data entry tasks accurately, including filing, record keeping, and updating databases such as QuickBooks or other office management software
- Maintain organized physical and digital filing systems to ensure easy retrieval of documents
- Support office operations by managing supplies inventory, ordering necessary materials, and coordinating maintenance requests
- Provide customer support by addressing inquiries promptly and professionally via phone, email, or in person
- Assist with clerical tasks such as proofreading correspondence, managing incoming mail, and preparing reports or presentations
- Support administrative functions including bookkeeping duties, invoicing, and basic bookkeeping using QuickBooks or similar platforms
- Demonstrate excellent phone etiquette when managing inquiries or scheduling appointments on busy multi-line phone systems
- Perform general office management duties to ensure a smooth daily workflow in a fast-paced environment
Skills
- Proven experience in front desk or office administration roles with strong organizational skills
