Responsibilities
- Greet visitors warmly, verify appointments, and direct them appropriately
- Manage multi-line phone systems efficiently, answering inquiries with professionalism and courtesy
- Handle incoming calls, schedule appointments, and transfer calls accurately using phone etiquette best practices
- Maintain organized filing systems, data entry records, and ensure accurate documentation using Microsoft Office and Google Workspace tools
- Ensure the reception area remains tidy, organized, and welcoming at all times
Requirements
- Proven office experience with strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Strong typing skills and attention to detail for data entry and proofreading tasks
- Exceptional customer service skills coupled with professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous experience as a front desk receptionist or medical/dental receptionist is preferred
- Knowledge of office management procedures including filing systems, calendar management, and basic bookkeeping (QuickBooks experience is a plus)
- Ability to handle multiple responsibilities simultaneously while maintaining a positive attitude
