Position Summary
The Cemetery Operations Coordinator is responsible for overseeing daily cemetery operations, ensuring accurate records, regulatory compliance, and a high level of service for families, funeral homes, and internal staff. This role serves as a key liaison between the cemetery and funeral home, supporting sales, scheduling, memorialization, and grounds coordination to ensure smooth, compassionate, and efficient operations.
Responsibilities
Key Responsibilities
- Coordinate interments, entombments, and inurnments, including scheduling, documentation, and on-site preparation
- Maintain accurate cemetery records, including deeds, burial permits, maps, ownership transfers, and digital databases
- Ensure compliance with Illinois Department of Financial & Professional Regulation (IDFPR) cemetery regulations and internal policies
- Assist with sales support, including placement orders, foundations, inscriptions, follow up and occasionally meet with families.
- Coordinate monument and marker installations and verify proper placement
- Manage inventory of plots, crypts, niches, and foundations
- Process billing, contracts, and payments related to cemetery services
- Support pre-need and at-need cemetery arrangements as needed
- Respond to family inquiries with professionalism, empathy, and discretion
- Assist with special events, memorial services, and seasonal projects
- Collaborate with grounds and maintenance teams to ensure timely preparation and site readiness
Miscellaneous & Administrative Duties
- Invoice cremations and open/close charges.
- Maintain cemetery price book and submit monthly care reports.
- Assist with annual audits and contract retrieval.
- Maintain petty cash and complete bank runs as needed.
- Schedule and manage events at Swan Pond.
- Provide notary services.
- After applicable training- be on weekend phone rotation
- Support funeral directors, sales staff, and cemetery team as needed.
Identify workflow improvements to enhance efficiency and service quality
Qualifications
Qualifications & Skills
- Previous experience in cemetery, funeral home, or related administrative or operations role preferred
- Strong organizational skills with high attention to detail
- Ability to manage multiple schedules, deadlines, and priorities
- Professional communication skills with families and internal teams
- Working knowledge of cemetery regulations or ability to learn and maintain compliance
- Proficiency with Microsoft Office and database systems
- Ability to work independently while collaborating as part of a team
- Compassionate, dependable, and discreet

Pay: $25.25 per hour
