Job Title: Disability Retirement Application Specialist

About the Role
We are seeking a detail-oriented and highly organized Disability Retirement Application Specialist to join our team on a contract basis. In this role, you will be responsible for processing disability retirement applications, managing appeals, and supporting members through complex administrative and regulatory processes. You will work under the guidance of Intake and Appeal Supervisors and play a critical role in ensuring accurate, efficient, and timely service delivery.
Key Responsibilities
Application Processing & Intake
- Review and process incoming disability retirement applications
- Ensure application completeness and advise members on eligibility criteria
- Request and manage authorization for access to confidential records
- Communicate with departments regarding employer-filed applications
Records Management & Research
- Locate, obtain, and verify employment, medical, legal, and workers' compensation records
- Coordinate with copy service vendors and other County departments
- Maintain organized, accurate, and complete record files
- Expedite acquisition of documents and resolve any delays
Appeals Coordination
- Process member appeals and prepare documentation for board approval
- Schedule medical examinations and assign referees for appeal hearings
- Prepare and distribute appeal-related correspondence and materials
- Maintain detailed electronic records on appeal status and documentation
Communication & Reporting
- Draft correspondence including Board decision letters, agendas, declarations, and memos
- Ensure timely and accurate submission of reports and case materials to all stakeholders
- Scan and distribute records to internal and external parties
Administrative Support & Invoicing
- Track and process invoices from panel physicians and third-party vendors
- Verify charges using medical fee schedules and adjust billing when necessary
- Submit approved invoices for payment
Additional Duties
- Support special audits or case reviews as assigned
- May manage a small case load depending on training and department needs
- Perform other related duties as required by the Intake or Appeal Supervisor
Qualifications
- Strong administrative skills with excellent attention to detail
- Experience in handling sensitive or confidential information
- Ability to interpret and follow established guidelines and procedures
- Familiarity with medical, legal, or retirement-related documentation preferred
- Strong communication skills and professional demeanor
- Proficiency with electronic recordkeeping and Microsoft Office tools
