Position Description – Software License Optimization Analyst (Contractor)
Role Summary:
- The analyst will be responsible for data gathering, analysis, and reporting for a prioritized set of software vendors and will work closely with the Program Manager, platform owners, and functional stakeholders.
Key Responsibilities:
Data Gathering & Inventory:
- Collect license and usage data from vendor portals/admin consoles for selected pilot vendors (e.g., Microsoft, ServiceNow, Salesforce, Workday, Adobe, Siemens, Ansys, MathWorks, PTC, Dassault, Cadence).
- Normalize data into a consistent model at user, license, and function levels.
- Maintain an accurate, up‑to‑date license inventory for the pilot scope.
License Utilization Analysis:
- Calculate metrics such as license allocation vs. purchase, active usage (30/90 days), utilization %, and inactivity.
- Identify reclaim and downgrade candidates based on agreed thresholds.
- Estimate potential annual savings and impacts on coverage.
Reporting & Communication:
- Build concise reports and dashboards (Excel/Power BI or equivalent) for:
- Vendor-level analysis.
- HQ function roll‑ups.
- Pilot progress tracking.
- Prepare clear summaries and visuals to support reviews with Mission Systems HQ functions and CIDO leadership.
Recommendations & Documentation:
- For each pilot vendor, create a structured set of license optimization recommendations and clearly document assumptions.
- Capture analysis steps, data sources, and logic to support repeatable processes in later phases.
Qualifications:
- Strong analytical and problem‑solving skills; comfort working with large datasets in Excel (pivots, joins, formulas).
- 3 years of experience in one or more of the following:
- Software asset management (SAM)
- IT asset management / IT financial management
- Business/data analysis in an IT or enterprise applications environment
- Experience working with license and usage data from enterprise software platforms (M365, Adobe, ServiceNow, Salesforce, Workday, or major engineering tools) is strongly preferred.
- Experience with data visualization/reporting tools (Power BI, Tableau, or similar) is a plus.
- Clear written and verbal communication skills; able to present findings in a way that resonates with both technical and business stakeholders.
- Highly organized, with the ability to document processes and work independently within a defined framework.
