Suli & Martinez Law is seeking a Front Desk Receptionist / Presuit Legal Assistant to be the welcoming face and voice of our firm. This key team member will handle client communications, manage incoming mail and calls, assist with client onboarding, and provide vital administrative support to our presuit teams handling personal injury and property insurance claims.

- Greet and welcome visitors and clients, ensuring a professional and friendly experience.
- Answer and route incoming phone calls with a clear, courteous, and confident voice.
- Handle daily mail—scan, log, and distribute incoming correspondence and outgoing mail.
- Maintain a clean, organized, and professional front office environment.
- Assist in setting up new personal injury and property insurance matters in our case management system (Clio Manage).
- Send welcome letters, letters of representation, and introduction packets to clients and insurance companies.
- Create and maintain digital client files following firm procedures.
- Assist with gathering intake information, documents, and photos from new clients.
- Call insurance companies to confirm claim details, coverage, and adjuster assignments.
- Request and track medical records, bills, estimates, and repair documentation for both property and injury cases.
- Request cost checks and track invoice payments for records or reports.
- Gather and organize all necessary documents for demand packages or settlement preparation.
- Send turn-down letters, government letters, or final pay letters as directed.
- Prepare and mail closing documents, settlement checks, and correspondence to medical providers, lienholders, or carriers.
- Assist attorneys and case managers with file organization and matter updates.
- Upload and categorize all documents and faxes into the case management system promptly.
- Support the intake and presuit teams with administrative tasks, check requests, and records follow-up.
- High school diploma or equivalent required.
- 1-2 years of office or legal experience preferred (experience in personal injury or insurance law a plus).
- Excellent verbal and written communication skills.
- Professional phone etiquette and client service demeanor.
- Strong attention to detail, accuracy, and organizational skills.
- Proficiency with Microsoft Word, Outlook, Adobe Acrobat, and general computer literacy.
- Experience with Clio Manage or other legal case management software preferred.
- Bilingual (English/Spanish) strongly preferred.
