Job Summary: The OA/DA Coordinator works directly with Van Line agents, Move Coordinators, and other Suddath branches throughout the country coordinating their moves in our market areas. This position will include international and domestic moves. Essential Duties and Responsibilities Develop relationships via the telephone with van Line Agents to promote OA/DA business in our local marketplaces. Process incoming electronic or phone requests and instructions from other agents, contact local customers, and set up appointments for visual surveys. Handle incoming calls requesting quotes as well as setting appointments for visual surveys to be completed by the Residential Sales Team. Communicate appointment times and job specifics with the move Surveyor according to the handoff checklist Communicate the details of the completed survey to the Booking Coordinator according to the handoff checklist Update Movers Suite with data and notes regarding changes and communications. Monitor and track pending and “will advise” orders. Update files and Booking Coordinators on notice of scheduling, cancellations, and inactive orders. Monitor and track order status to ensure delivery dates and all service commitments are met. Complete tasks in work flow daily. Complete all administrative procedures related to clients’ moves. Coordinate with other department personnel regarding scheduling, pricing or service related issues. Maintain accurate records and audit documents for accuracy. Other duties as assigned. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience: High school education or GED; two to three years of experience in customer service, prior moving industry experience preferred; or combination of education and experience. Language Ability: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Math Ability: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Computer Skills: Must be highly proficient in MS Word, MS Excel and MS Outlook. Able to learn and effectively use enterprise software such as Movers Suite and Quotes-to-Go, as well as other software applications used in the daily performance of job duties.
