About the Role
We are seeking an experienced full-time Studio Administrative Coordinator to oversee day-to-day operations and provide support to our design team. This on-site role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, creative environment- all while maintaining a professional and client-centered approach.
Responsibilities (include but are not limited to)
Documentation & Accuracy: Prepare and maintain proposals, contracts, invoices, purchase orders, and other project documentation with a high level of precision.
Order & Procurement Support: Partner with the Procurement manager to track and manage orders from placement through installation, resolving any issues quickly.
Financial Studio Operations: Assists with bookkeeping, payroll, budget tracking, expense reporting, and financial documentation.
Project Support: Maintain up-to-date client and financial databases, monitor project timelines, and ensure seamless communication and project flow.
Client & Vendor Coordination: Serve as a point of contact for clients, vendors, and contractors to ensure seamless communication and project flow.
Team Assistance: Provide administrative support to the Design team to keep projects on track.
Scheduling & Logistics: Coordinate calendars, schedule client meetings, design presentations, and site visits.
Studio Operations: Manage daily studio operations, maintain a well-organized and efficient studio environment, oversee supplies, samples, and deliveries.
Qualifications:
Bachelor's Degree
3-5 years of administrative experience, ideally within the design, architectural, or creative industries.
Strong written and verbal communication skills.
Exceptional organizational skills with an attention to detail.
Proficiency with Google Workspace and basic bookkeeping/project management software.
Ability to manage multiple tasks and deadlines with a high level of professionalism.
