What are the responsibilities and job description for the Project Coordinator - Recruiting position at StraussGroup - Executive Search Consultants?
About StraussGroup
StraussGroup is one of the largest and most successful executive search firms in the Buffalo/Niagara region. Founded in 2000, we partner with clients ranging from small start-ups to global corporations across five main industry verticals: Financial Services, Manufacturing, Accounting, Legal, and Non-Profit. We have been named one of Buffalo's Best Places to Work (or a finalist) 12 times — a reflection of the culture we have built: no drama, high standards, and a team that genuinely enjoys working together.
Headquartered in Williamsville, NY, we are an affiliate of Sanford Rose Associates®, part of an elite network of independently-owned executive search firms. We combine the discipline of a top-tier search firm with the energy of an entrepreneurial sales floor.
The Opportunity
We are hiring a Project Coordinator to join our team. Every retained search at StraussGroup is staffed with a designated team: an industry-specific search consultant, a research analyst (the Project Coordinator), and dedicated administrative support. This is the research analyst seat — a tech-forward, high-leverage role designed for someone who is curious, organized, and excited to learn the executive search business from the inside out.
You will work directly with the Partners and recruiters across all six of our industry practices, owning the research, sourcing, and digital infrastructure that powers our searches. If you want to learn how a modern search firm operates — and you want a path to grow into a full-desk recruiter or another senior role — this seat puts you at the center of every active engagement.
What You'll Do
- Source and identify candidates across LinkedIn Recruiter, ZoomInfo, and other research platforms.
- Build and execute targeted email and InMail campaigns to candidates and prospects.
- Create and post job openings across LinkedIn, Indeed, and our website.
- Screen inbound applicants and present qualified candidates to recruiters.
- Conduct industry, company, and market research across our financial services, manufacturing, legal, accounting, health care, and non-profit practices.
- Build call lists and prospecting plans for the recruiting team.
- Maintain our applicant tracking system (PCR) — clean data, accurate records, and strong workflows.
- Schedule and coordinate interviews between candidates and clients.
- Debrief candidates after interviews and capture feedback for the team.
- Run our LinkedIn presence and social campaigns — drafting posts, managing the company page, and supporting partner content.
- Manage weekly website updates and content refreshes.
- Produce and distribute weekly KPI reports to the team.
- Identify and test AI tools and automations that make our research and outreach faster and sharper.
What We're Looking For
- Bachelor's degree or equivalent professional experience.
- Strong technology aptitude — comfortable in LinkedIn, CRM/ATS systems, and Microsoft 365; curious about AI tools and how to apply them.
- Excellent written and verbal communication skills.
- Sharp organizational skills and the ability to manage multiple projects without losing details.
- A real desire to learn the executive search business and grow into bigger roles over time.
- High ethics, humility, and a strong work ethic.
- Comfortable interacting with senior executives, candidates, and internal team members.
- A sense of humor and a passion for life — we work hard and have fun doing it.
Compensation & Growth
Base salary of $50,000 with commission on placements and team performance — on-target earnings of $75,000 in year one, with meaningful room to grow as you take on more responsibility. Full benefits package included.
This role is a launchpad. Top performers have a clear path to step into a full-service recruiter seat or grow within the firm. If you want to stay and master this role long-term, that works too.
Salary : $50,000 - $75,000
