Job Summary
The Accounts Payable (AP) Specialist performs crucial job duties to ensure vendors get paid in a timely manner. The AP Specialist reviews and process invoices, answers vendor inquiries, reconciles vendor statements, and maintain accurate reports. This position is responsible for handling a range of general accounting tasks that support the goals and deadlines of accounting.
Management Responsibilities
- Manage professional relationships with vendors
- Answer questions accurately with polite manner
- Record correspondence (internal and external) in CMiC
- Verify the accuracy of vendor invoices and enter correctly into CMiC
- Follow all company policies and procedures to ensure the accounting department achieves all goal and deadlines
- Manage all daily tasks using CMiC and other company software in an organized and efficient manner
Position Responsibilities
- Execute daily processes and controls accurately and in a timely manner, ensuring compliance with company policies
- Review all invoices for appropriate documentation and approval prior to payment
- Verify the accuracy of vendor invoices and confirm that the correct account codes are used
- Review and update workflow to ensure invoices are approved within one business day per approver
- Generate vendor payment on a routine schedule and ensure appropriate documents are uploaded into the accounting software
- Review automatic payments to ensure correct coding and authorization as well as sufficient contracts and documentation
- Organize and prepare monthly reoccurring expenses (rent, utilities, etc)
- Assist AP Manager with month end close
- Ensure all invoices and other transactions are accurately entered in CMiC within one business day
- Assist with collecting lien waivers, collecting backup, project audits, processing payments, reconciling credit card, etc.
- Assist in ensuring all reports AP are accurate and updated
- Assist Accounts Payable Manager as needed
