Job Summary
The Property Specialist / Office Manager represents the Strada brand by ensuring a welcoming and professional environment at the company’s headquarters in The Woodlands, TX. Key Responsibilities
- Serve as the primary point of contact for guests, clients, and employees at the reception desk.
- Manage incoming calls, emails, and general inquiries, ensuring prompt and professional communication.
- Coordinate office logistics including meetings, catering, travel arrangements, mail distribution, and office supply management.
- Conduct regular inspections to ensure facility cleanliness, maintenance, and compliance with safety standards.
- Support preventative maintenance programs to minimize equipment failures and optimize building systems’ performance.
- Oversee maintenance and repair of mechanical, electrical, and plumbing systems, ensuring adherence to best practices.
- Partner with vendors and contractors for installations, refurbishments, and service agreements, ensuring cost-effective and timely delivery.
- Handle general accounting tasks, including vendor setup, invoice processing, and payment follow-up with Accounts Payable.
- Collaborate with cross-functional teams to support new facility openings, renovations, and relocations across U.S. sites.
- Coordinate with third-party security and cleaning providers to maintain high operational standards.
- Support data collection and real estate initiatives across U.S. and LATAM locations as needed.
- Monitor corporate communication channels, including main phone lines and shared inboxes.
- Bachelor’s degree in Facility Management, Engineering, or related field.
- Minimum of 5 years’ experience in facilities management.
- Minimum of 5 years’ experience performing front office or reception duties.
- Strong knowledge of mechanical, electrical, plumbing, and building automation systems.
- Experience managing vendor contracts, including understanding of terms, SOWs, and fee schedules.
- Demonstrated ability to lead projects, manage competing priorities, and build operational processes independently.
- Excellent interpersonal and communication skills with the ability to manage by influence.
- Strong analytical and problem-solving abilities.
- Proficiency in facility management software and Microsoft Office Suite.
- Experience negotiating vendor or service agreements to achieve favorable business outcomes.
- Customer service mindset and ability to build trusted internal and external relationships.
- Cross-cultural awareness and experience working with global delivery models.
- Ability to lift up to 50lbs and travel up to 25% based on business needs.
