The Facilities Administrative Coordinator is accountable for driving results in a fast-paced environment by providing support and analysis related to metric tracking/reporting and internal customer support and internal project management assistance to the maintenance and facilities team. The ideal candidate will assist maintenance leaders to set expectations and calibrate work order urgency and criticality. The ideal candidate will identify continuous improvement opportunities. Your Responsibilities
- Manages the maintenance department documentation, facility events, contractor management, building security administration, facility housekeeping, administers site uniform programme, provides safety PPE to contractors and visitors, and other duties related to facility management.
- Inputs, monitors and provides analysis on work orders and preventative maintenance requirements.
- Acts as Subject Matter Expert and training administrator on CMMS systems.
- Acts as customer service representative for internal customers of maintenance and facilities, including follow-up when necessary to ensure satisfactory execution.
- Manages and reports departmental performance metrics.
- Manages projects of cross-departmental maintenance projects.
- Assists maintenance where required to scan and file documents, procedures and drawings.
- Ensures timely completion and compliance with cGMP and all other relevant company training requirements.
- Monitors coffee, water and office supplies in lobby, restocking and ordering as appropriate; contacts vendors and coordinates resolution when issues arise.
- Bachelor’s degree with a minimum of 1 year of experience in an office or administrative setting; or
- Associate degree with a minimum of 4 years of experience in an office or administrative setting; or
- High School degree (or equivalent) with minimum 6 years of experience in an office or administrative setting.
