Position Summary
The Youth Program & Facilities Coordinator supports districtwide athletics and activities by overseeing youth athletic partnerships, assisting with high school athletics and activities operations, and managing district facility scheduling. This role strengthens alignment across youth programs, enhances event operations at the high school level, and ensures safe, efficient, and equitable use of all district spaces.
The Coordinator serves as a primary point of contact for youth organizations, facility users, and high school event operations, contributing to a strong, connected K–12 experience for students and families.
Essential Duties & Responsibilities
YOUTH PROGRAM OVERSIGHT
- Serve as the district liaison for youth athletic partners (Jr. Hawks, SWAT, Park & Rec, club organizations, etc.).
- Coordinate facility needs, calendars, and communication between youth groups and the Athletics & Activities Director.
- Ensure youth programs follow district procedures for safety, supervision, and facility expectations.
- Support alignment between youth programming and high school athletics to create a unified feeder model.
- Assist with youth outreach initiatives and special programming to build participation and community engagement.
HIGH SCHOOL ATHLETICS & ACTIVITIES SUPPORT
- Support the Athletics & Activities Director with operational needs related to practices, events, activities, and student programming.
- Assist with communication, record-keeping, schedule adjustments, and logistical coordination.
- Help facilitate special events such as orientation nights, pep rallies, leadership programming, club fairs, and community-focused activities.
- Provide on-site support during busy seasons or large events to help ensure smooth operations.
GAME DAY MANAGEMENT & EVENT SETUP
- Assist with setup, supervision, and teardown for high school home events (athletics and activities).
- Ensure facilities are properly prepared, including equipment setup, signage, table setup, game operations materials, and safety needs.
- Serve as an on-site contact for officials, event workers, volunteers, and visiting teams when assigned.
- Help train or support game staff (ticketing, table workers, supervision, etc.).
- Communicate facility or event needs with custodial/operations teams.
- Assist with confirming logistics for contests, special events, performing arts showcases, and community use as assigned.
COMMUNITY & FAMILY RELATIONSHIPS
- Provide a consistent and responsive point of contact for youth coaches, families, and community partners.
- Support youth program communication via websites, online platforms, and social media.
- Assist with preseason, informational, and partnership meetings.
- Build positive relationships with students and families to strengthen engagement and long-term participation.
FACILITY SCHEDULING & OPERATIONS
- Serve as the district’s primary scheduler for all facility use (gyms, fields, PAC, commons, etc.).
- Maintain and manage the district facility use calendar to ensure accurate, prioritized scheduling.
- Communicate building access, setup needs, and facility expectations to custodial/operations departments.
- Support long-term facility planning and upgrades in collaboration with the Athletics & Activities Director.
- Ensure all user groups adhere to district procedures and space-use guidelines.
COMMUNITY EVENTS & PROGRAMMING
- Assist in creating new community events such as Flick & Float, Fitness Nights, Game Nights, etc.
- Help develop new programming that enhances community engagement and promotes active use of district facilities.
- Provide after-hours or event support as needed.
Required/Preferred Knowledge & Skills
- Strong interpersonal skills and the ability to collaborate with students, staff, families, and community organizations.
- Working knowledge of Google Workspace, Microsoft Office Suite, and scheduling platforms such as Bound or equivalent.
- High attention to detail with strong organizational and time-management abilities.
- Effective written and verbal communication skills.
- Ability to manage multiple tasks, solve problems, and remain professional in fast-paced environments.
- Availability for evening and weekend responsibilities.
- Experience in athletics, youth programming, or event operations preferred.
Job Type: Full-time
Pay: Up to $20.00 per hour
Expected hours: No more than 40 per week
