Xactimate Writer – Water Mitigation

Position Overview

Roto-Rooter’s Water Mitigation Business Unit is seeking a detail-oriented Xactimate Writer to support emergency water damage operations. This role is focused exclusively on mitigation estimating (no reconstruction). The position also supports Accounts Receivable (AR) to ensure timely billing, approvals, collections, and revenue recovery. We are seeking a highly organized and detail-oriented individual with strong computer skills and the ability to manage multiple priorities in a fast-paced environment. While Xactimate experience is preferred, it is not required. We will train the right candidate on the mitigation estimating and writing process.

Key Responsibilities – Estimating

·         Create Xactimate estimates for water mitigation services only, including water extraction, mitigation-related demolition, equipment setup, daily monitoring and drying charges, and antimicrobial applications.

·         Review moisture logs, psychrometric readings, technician notes, and photos.

·         Ensure estimates align with IICRC S500 standards.

·         Submit estimates, supplements, and revisions to insurance carriers.

·         Capture all eligible mitigation line items and revenue opportunities.

·         Communicate with insurance adjusters.

Accounts Receivable (AR) Support

·         Track job status from estimate submission through payment.

·         Follow up with insurance carriers on approvals, supplements, and payment status.

·         Resolve billing discrepancies and carrier pushback.

·         Communicate with customers regarding deductibles and balances.

·         Ensure documentation supports timely collections.

·         Help reduce Days Sales Outstanding (DSO).

Qualifications

·         Strong computer proficiency required; ability to quickly learn and navigate software systems, web-based carrier portals, Microsoft Office, and documentation platforms.

·         Xactimate (X1) experience is preferred but not required. We will train the right candidate on the estimating and writing process.

·         Background in Accounts Receivable (AR), collections, insurance billing, customer account management, or related administrative roles preferred.

·         Experience in water mitigation, restoration, insurance claims, or construction industries is a plus.

·         Experience with service titan, Encircle, Xactimate preferred but not required training will be provided for the right candidate

·         Highly organized with the ability to manage multiple jobs, deadlines, and follow-up activities simultaneously.

·         Strong attention to detail and ability to maintain accurate documentation.

·         Excellent communication and customer service skills when interacting with insurance carriers, adjusters, customers, and internal teams.

·         Self-motivated with strong problem-solving skills and the ability to work independently.

·         Comfortable handling collections conversations and resolving billing discrepancies professionally.

·         Base salary: $50,000 - $55,000 annually
