Join our dynamic team as a Front Desk Receptionist and Office Coordinator, where your energy and organizational skills will set the tone for a welcoming and efficient office environment. In this pivotal role, you will be the first point of contact for visitors and callers, ensuring every interaction reflects professionalism and warmth. You will also oversee a variety of administrative functions, coordinate office operations, and support team members to foster a productive and positive workplace. Your proactive approach will help streamline daily activities, manage schedules, and maintain smooth office workflows.

Responsibilities

  • Greet visitors/patients, answer multi-line phone systems, and direct inquiries with excellent phone etiquette and professionalism
  • Manage front desk operations, including scheduling appointments, Patient Intake management, Health insurance management
  • Oversee calendar management for team meetings, events, and appointments to ensure optimal schedule coordination
  • Coordinate vendor relationships, manage supplies inventory, and handle vendor communications efficiently
  • Assist with office management duties such as filing, document organization, and maintaining a clean and organized workspace
  • Support event planning activities for company functions or community outreach efforts

Qualifications

  • Proven experience in office administration, clerical work, or front desk reception roles with strong organizational skills
  • Demonstrated supervisory experience or team management capabilities
  • Excellent communication skills with the ability to handle multiple tasks efficiently in a fast-paced environment
  • Experience managing schedule coordination for teams or events; adept at calendar management tools
  • Knowledge of medical office management or healthcare-related administrative procedures is advantageous
  • Strong multitasking abilities with attention to detail in filing, record keeping, and administrative support tasks
  • Ability to adapt quickly to changing priorities while maintaining professional demeanor and excellent phone etiquette
