As our Executive Assistant / Office Manager, you’ll be the operational backbone for both our leadership team and local office. You’ll report directly to the Sr. Workplace Ops Manager, take direction on evolving priorities, and team closely with them to ensure smooth day-to-day execution of workplace operations. From managing executive calendars to ensuring the office runs like a well-oiled machine, you'll bring structure and calm to a fast-paced environment.

Responsibilities
- Executive Support
- Provide high-level administrative support to 3–5 executives, including complex calendar management across multiple time zones.
- Proactively coordinate internal and external meetings (Google Meet, in-person, hybrid).
- Prepare briefing materials, meeting agendas, and follow-up documentation.
- Keep executives focused and organized by managing task lists, tracking deadlines, and ensuring follow-through.
- Office Management
- Own the daily operations of the local office: supplies, snacks, vendor management, visitor experience, and general upkeep.
- Ensure the office is a productive, welcoming, and functional space, whether you’re hosting a happy hour or fixing the espresso machine.
- Manage onboarding and offboarding logistics in partnership with HR and IT.
- Be the point of contact for mail, access, and facilities-related needs.
- Take direction from and team with the Sr. Workplace Ops Manager on evolving office initiatives and improvements.
- Team & Operational Support
- Assist with expense reports, procurement, contracts, and general administrative tasks.
- Support the broader team with logistics for team travel, investor meetings, and special projects.
- Partner with the Sr. Workplace Ops Manager to execute company-wide events, cross-functional initiatives, and ad hoc projects—no task too big or too small.

Requirements
- 4–6 years of experience as an Executive Assistant, Office Manager, or similar role in a fast-paced environment (startups a plus).
- Proven experience managing multiple executives and coordinating across time zones.
- Willingness to occasionally flex hours to support executives in other time zones.
- Located within commuting distance to our [office location] and available to be onsite 5 days a week.
