Role Description
This role is a hybrid position responsible for both the daily efficiency of our physical workspace and the end-to-end recruitment process for our contract workforce. You will be the first point of contact for office vendors and potential candidates alike, requiring a high degree of discretion, organization, and communication agility.

Talent Acquisition & HR Administration:
- Full-Cycle Recruiting Support: Manage job postings across platforms (LinkedIn, etc.), conduct initial candidate screening, and coordinate interview schedules.
- Onboarding Orchestration: Facilitate the end-to-end onboarding process, including system setup (Slack, Deel, etc.), collecting compliance documentation, and ensuring all new hires are ready for their first shift.
- Process Documentation: Maintain and update the company’s onboarding and operations guides to ensure a seamless experience as we scale.
- Contractor Relations: Act as the primary point of contact for our contract workforce regarding scheduling, time tracking, and operational questions.
Office Management:
- Facilities Oversight: Act as the primary point of contact for property management, building maintenance, and security (including managing key card access and visitor protocols).
- Workspace Coordination: Ensure the office environment—including common areas, kitchens, and research labs—remains organized, functional, and well-stocked for a high-performance engineering team.
- Vendor & Logistics Management: Coordinate deliveries, manage office supply inventory, and oversee recurring service vendors (cleaning, internet, utilities).
- Operational Support: Support the team with ad-hoc administrative needs, such as coordinating team lunches, managing mail/packages, and assisting with travel or logistics for company events.
- Health & Safety: Maintain safety standards for the physical workspace, ensuring that operational equipment is stored appropriately and that all safety protocols are followed.
Qualifications
- Facilities & Operations Management: Proven experience managing office facilities, building vendors, procurement, and logistics. Demonstrated ability to maintain a safe, functional, and organized workspace.
- Talent Acquisition & HR: Hands-on experience with full-cycle recruiting, candidate screening, and onboarding. Proficient in modern HRIS and operational tools (e.g., Deel, 7shifts, Slack, Google Workspace).
- Core Administrative Competency: Strong organizational and clerical skills, including scheduling, documentation, data management, and executive support. Excellent professional communication and discretion in handling sensitive information.
- Versatility & Problem Solving: Demonstrated ability to manage competing priorities, switch contexts between HR and operational tasks, and proactively solve problems with minimal oversight.
- Background: High school diploma or equivalent required; prior experience in office administration or support roles is highly preferred.
Compensation
- Competitive Hourly Rate: $35 – $65 per hour, commensurate with experience and expertise in high-growth startup environments.
- Employment Type: Contract position; 3-6 month engagement with potential for longer term employment. Subject to change
