About the Role
We're looking for an organized, proactive Junior Chief of Staff to support our growing team. In this role, you'll work closely with the Executive Operations and Communications Manager and COO to keep our internal operations running smoothly. Key Responsibilities
People Ops
● Assist the Executive Ops & Comms Manager in running the onboarding process, ensuring new hires are set up for success and proactively suggesting ways to strengthen it.
● Support the Executive Ops & Comms Manager in driving the hiring process, including scheduling, candidate communication, and coordination across teams.
● Assist the COO with immigration processes for candidates and new hires, gathering and supplying the documentation and information needed for a smooth process.
Policies & Compliance
● Build and document company-wide policies and procedures. Partner with the Project Manager to improve how company documents are organized, making them easier to find and access across the team.
● Help build out the employee handbook and develop our onboarding procedures.
● Support risk management by ensuring the company remains compliant with city and state regulations.
Office & Team Support
● Help manage the office and support a growing team as we move into a new space.
● Serve as the primary point of contact with our external accountant, providing requested information and acting as the connection between the accountant and the ops team.
Communications
● Help create and maintain a communications calendar for company content, collaborating with the technical team and interns to set and keep the comms schedule on track.
● Contribute content ideas and support content creation as we expand our communications channels.
Requirements
● 1 years of experience in operations, communications, or office management role.
● Comfort with ambiguity and fast-changing priorities in a startup environment.
● Proficiency with Google Workspace, Discord, Slack, and standard productivity tools.
● Ability to work full-time in San Francisco, CA.
Strong candidates may also have:
● Experience at an early-stage startup, research organization, or small family business.
● Familiarity with HR compliance, contractor onboarding, or equity administration.
● Experience coordinating with external partners or clients.
● Background managing hiring pipelines, recruiting coordination, or event coordination.
● Interest in AI safety, machine learning research, or technical subject matter.
● Experience writing or editing technical or research-adjacent content.
Salary : $120,000 - $175,000
