Job Summary
We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Responsibilities

  • Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming environment
  • Answer multi-line phone systems promptly and courteously, directing calls efficiently and taking detailed messages when necessary
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain accurate records and ensure organizational clarity
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including typing reports, maintaining filing systems, and supporting administrative projects
  • Provide excellent customer support by addressing inquiries promptly and professionally while maintaining proper phone etiquette

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask effectively in a busy environment
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Experience with front desk operations, office management, or administrative support roles preferred
  • Familiarity with multi-line phone systems and office equipment such as printers and fax machines
  • Attention to detail in proofreading documents and data entry tasks
  • Strong time management skills to prioritize tasks efficiently throughout the day
  • Customer service expertise with a friendly attitude and professional demeanor
  • Knowledge of clerical procedures including filing systems, calendar management, and record keeping
  • Experience in medical or dental receptionist roles is a plus but not required; personal assistant experience is also valuable
  • Ability to handle sensitive information discreetly while maintaining high levels of professionalism
