Position Summary:
The Accounts Payable Specialist at will be responsible for managing the full cycle of accounts payable activities. This includes processing invoices, verifying financial records and transactions, and performing reconciliations to ensure accuracy and compliance with financial policies and procedures. The ideal candidate will contribute to the efficiency and effectiveness of the accounting department, supporting the overall financial health of the company.
Essential Duties and Responsibilities:
- Process and verify invoices, ensuring appropriate documentation and approval.
- Maintain accurate and up-to-date vendor information and payment records.
- Prepare and process weekly check runs, ACH payments, and credit card transactions.
- Manage weekly payment runs, ensuring timely payments and optimizing cash flow.
- Reconcile accounts payable transactions, resolving discrepancies in a timely manner.
- Collaborate with internal departments and external vendors to address and resolve issues.
- Prepare and analyze reports related to accounts payable for the Manager of Accounts Payable.
- Contribute to the development and implementation of accounts payable policies and procedures, driving process improvements.
- Support the month-end and year-end close processes, ensuring accuracy and completeness of financial records.
- Identify opportunities for process improvements and support the implementation of automation tools.
Job Qualifications:
- Associate’s degree in accounting, Finance, or related field preferred; equivalent experience considered.
- 2 years of accounts payable experience, preferably within a hotel management, hospitality, or multi-property environment.
- Strong verbal and written communication skills, with the ability to explain complex financial information clearly.
- Proficient in Microsoft Office Suite and familiar with ERP systems; Acumatica ERP experience is a plus.
- Experience with property management systems (PMS), accounting software, and invoice workflow systems
- A proactive problem-solver who is keen to identify opportunities for improving processes.
- Capable of working in a fast-paced environment, prioritizing tasks, and meeting deadlines.
- A team player with the ability to work independently under general direction.
Travel Requirements:
This position does not require overnight travel.
