The North Carolina General Assembly's 'America's Semiquincentennial Committee' is seeking a highly skilled professional to assist the great state of North Carolina in celebrating the 250th Anniversary of the founding of the United States of America. North Carolina's significant contributions to the founding of the United States makes this a very special time for North Carolina as a state, as well as for the entire United States of America. North Carolina was one of the original 13 colonies and became the 12th state to ratify the Constitution in 1789. The NCGA is seeking an experienced professional to serve the Committee by providing administrative and clerical support to the Special Events Coordinator.

The Special Events Assistant reports directly to the Special Events Coordinator, and assists with facilitation, management, and documentation of all events aligned with the 250th Anniversary. This position requires high levels of responsibility, organization, and a strong commitment to providing a professional representation of the state of North Carolina. This individual is responsible for maintaining the events calendar, researching and collecting historical data for presentations, keeping organized records of event activities, progress, or status, and assisting in the facilitation of event operations.

Duties :

  • Performs a variety of clerical and organizational tasks daily to keep the office and project running smoothly.
  • Answers and directs phone calls, responds to emails and correspondences related to the celebration, and communicates with visitors and collaborators.
  • Manages the Special Events Coordinator's calendars, meetings and events schedules, and assists with travel arrangements.
  • Organizes files, sorts documents, and develops and maintains filing systems.
  • Maintains records on event activities, progress, or status.
  • Collects, stores, and enters data into spreadsheets and databases.
  • Submits and tracks travel expense reports.
  • Prioritizes and plans task completion schedules.
  • Assists the Special Events Coordinator with statewide events, constituents, administrative duties, and with up-to-date project information.
  • Always maintains a high level of professionalism and confidentiality.
  • Collects and analyzes information from primary and secondary resources.
  • Researches findings and published North Carolina literature that relates to the celebration and provides feedback.
  • Researches and identifies events and coordinate site visits.
  • Prepares and writes reports, letters, and other correspondences to present to the committee.
  • Serves as a liaison between the Special Events Coordinator, committee members, and event planners.
  • Attends committee and project meetings.
  • Corresponds with funding sources and foundations.
  • Performs other duties as assigned.

  • Must be very detailed oriented, proactive, and have strong organizational skills.
  • Proficient in using office management systems and Microsoft Office.
  • Must be an effective communicator :
  • Possess excellent verbal and written communication skills,
  • Actively listen to understand the perspectives of others,
  • Articulate ideas clearly, and
  • Possess the ability to adapt communication styles to interact with different audiences.
  • Ability to multitask, maintain composure, and work cooperatively under pressure with legislators, legislative staff, committee members, and the general public on a daily basis.
  • Able to analyze data and to detect and report discrepancies.
  • Experience in developing content reports and presentations that can be shared with multiple groups and stakeholders.
  • Ability to maintain strict confidentiality and to handle politically sensitive work.
  • Willingness and ability to work in a team environment and assist other staff members, while performing independent job duties in order to accomplish the mission of the project.
  • Preference will be given to applicants that possess the following skills :

  • Extensive historical knowledge about North Carolina
  • Research experience related to North Carolina
  • Ability to read and write in cursive 'Cursive'.
  • Minimum Education and Experience Requirements

  • Requires a bachelor's degree and some research experience; or,
  • Any similar combination of the above education and experience.
