The Administrative Services Division of the Department of Finance and Administration provides dynamic and responsive support services in accounts payable, procurement, fiscal, information technology, and human services for all divisions and programs of the agency. Operating in a high-paced environment, the division manages a diverse range of fiscal support mechanisms that directly benefit New Mexicans by promoting efficient, equitable, and innovative resource management.
Why does the job exist?
The purpose of this position is to assist the Administrative Services Division in all aspects of purchasing and receiving for all divisions and programs within DFA. This position processes vouchers, purchase orders, change orders for assigned programs, and draw requests for the Severance Tax Bonding Fund. Also reconciles AP and cash transactions monthly. May also assist with processing deposits and W9s. All financial transactions are audited and reviewed before submission for compliance with the Model of Accounting Principles (MAPS), Generally Accepted Accounting Principles (GAAP), and the Governmental Accounting Standards Board (GASB)¿other duties as assigned.
How does it get done?
Audit, review and process all payment requests for the Agency within 48 hours for their assigned programs. Audit, review, and process severance tax bonding fund draw requests. Reconcile cash activity in the severance tax bonding fund monthly. Monitor the approval process for requisitions, purchase orders, and vouchers within SHARE. Create requisitions, purchase orders, and change orders for the Agency by working with the Chief Procurement Officer, Chief Financial Officer, AP Bureau Chief, AP Supervisor, Divisional Directors, and Budget Manager, as needed. Troubleshoot errors, denials, and complex financial activity.

Minimum Qualification
Bachelor's Degree in Accounting, Finance, Auditing, or Business Administration and two (2) years directly related work experience in accounting, auditing, finance, and/or budgeting. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling six (6) years may substitute for the required education and experience.
Employment Requirements
State issued ID or Driver's License.
Pre-employment criminal background check is required, and employment offer will not be extended prior to results.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
