We are seeking a highly organized and personable Front Desk/Administrative Assistant to serve as the primary point of contact for our organization. In this dual role, you will manage all front desk operations to ensure a welcoming environment for visitors while providing essential administrative support to the team. Key Responsibilities Your primary duties will center on managing front desk operations, which includes greeting visitors professionally, notifying staff of their arrival, and ensuring they are comfortable in the waiting area. You will be responsible for managing the main telephone line by screening calls, taking detailed messages, and directing inquiries to the appropriate personnel. Additionally, you will handle all incoming and outgoing mail and packages, coordinate courier services, and maintain the cleanliness and organization of the reception area and lobby. You will also provide basic customer service support and resolve minor visitor inquiries as they arise. In terms of administrative support, you will schedule and coordinate meetings, appointments, and conference room bookings to ensure smooth operations. You will prepare and distribute various correspondence, including memos, reports, and other documents such as emails, letters, and presentations. Maintaining both physical and digital filing systems with a focus on data accuracy and confidentiality will be a daily task. You will also assist with office supply inventory by monitoring stock levels and coordinating orders to ensure the office remains fully stocked. Furthermore, you will support travel arrangements and expense reporting for staff as needed, along with performing other ad-hoc administrative duties as requested by management.
