Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems with professionalism, maintaining excellent phone etiquette and customer support
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
  • Maintain organized filing systems, data entry, and record keeping using tools like Microsoft Office, Google Workspace, and QuickBooks
  • Schedule appointments, manage calendars, and coordinate meetings efficiently for staff and management
  • Assist with office management tasks such as ordering supplies, organizing documents, and supporting daily operations
  • Provide clerical support including proofreading documents, preparing reports, and managing time-sensitive tasks with precision

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Familiarity with QuickBooks or bookkeeping experience is a plus
  • Strong typing skills along with good data entry accuracy
  • Excellent customer service skills with a friendly demeanor and professional appearance
  • Ability to handle confidential information discreetly while managing multiple priorities efficiently
  • Previous experience in medical or dental receptionist roles is advantageous but not required; training will be provided for specialized duties such as calendar management or personal assistant tasks
