Position Summary
We are seeking a dynamic and professional Marketing & Administrative Assistant to support both marketing initiatives and day-to-day administrative operations at our assisted living community. This individual will play a key role in creating a welcoming first impression for residents, families, and guests, while also assisting with marketing efforts that drive census growth and community outreach.
This is a highly visible, front-facing role that requires strong communication skills, attention to detail, and the ability to balance multiple responsibilities in a fast-paced environment.
Primary Responsibilities
Marketing Support
- Assist the Marketing Director with planning, organizing, and executing marketing initiatives to support census growth and community outreach.
- Coordinate and support events, tours, and promotional activities for prospective residents and their families.
- Maintain and update marketing materials, including brochures, digital content, social media, and the community website.
- Track marketing data, referral sources, inquiries, and lead conversions using CRM or other marketing software.
- Schedule and confirm appointments, follow-ups, and community outreach visits.
- Support external communications with vendors, partners, and referral agencies.
Administrative Support
- Provide administrative assistance such as preparing reports, managing calendars, organizing files, and maintaining office inventory.
- Support the Executive Director and other leadership team members with clerical and project-based tasks as needed.
- Handle correspondence, draft letters or memos, and maintain organized records.
Reception & Guest Services
- Serve as the first point of contact for walk-ins, visitors, and phone inquiries, ensuring a warm and professional welcome.
- Manage the front desk by answering phones, directing calls, taking accurate messages, and greeting all visitors with courtesy and professionalism.
- Assist residents, families, and staff with basic questions or requests, directing them to the appropriate department when necessary.
- Monitor visitor sign-ins, deliveries, and general lobby activity to maintain a safe and welcoming environment.
- Support communication flow within the community by distributing information, announcements, and updates.

Requirements
- Associate’s or Bachelor’s degree in Marketing, Communications, Business, or related field preferred.
- 1–2 years of experience in marketing, administrative support, or reception (senior living or healthcare experience a plus).
- Strong organizational skills with the ability to prioritize and multitask effectively.
- Proficiency in Microsoft Office Suite; CRM or marketing software experience preferred.
- Excellent interpersonal, written, and verbal communication skills.
- Professional demeanor and customer-service orientation.
