Job description:
Position Summary
The CSR is responsible for ensuring accurate, timely invoicing and revenue capture for logistics, warehousing, and transportation services. This role works closely with operations, accounting, and drivers to verify charges, resolve discrepancies, and maintain accurate billing records. Experience in logistics or supply chain billing is strongly preferred.
Key Responsibilities
- Prepare, review, and issue customer invoices for trucking services, including transportation and accessorial charges
- Verify billing accuracy against contracts, rate sheets, bills of lading (BOLs), proof of delivery (PODs), and customer agreements
- Audit carrier and vendor invoices to ensure charges align with contracted rates and approved services
- Research and resolve billing discrepancies related to shortages, damages, rate differences, or service disputes
- Collaborate with operations, warehouse, and accounting teams to clarify billable activities and service details
- Maintain organized billing documentation and supporting records for audit and compliance purposes
- Post invoices, credits, and adjustments accurately within accounting or ERP systems
- Respond to customer billing inquiries professionally and in a timely manner
- Assist with month-end close activities related to accounts receivable and revenue reconciliation
- Support continuous improvement of billing processes and internal controls
Required Qualifications
- Strong attention to detail with the ability to identify discrepancies and errors
- Excellent organizational, time-management, and communication skills
- Proficiency in Microsoft Excel and Microsoft Office applications
Preferred Skills & Experience
- Experience billing for 3PL, warehouse, or transportation operations
- Strong understanding of logistics billing concepts such as accessorials, storage fees, detention, and freight charges
- Proficiency with accounting systems, ERP platforms, or transportation management systems (TMS)
- Familiarity with rate agreements, contracts, and customer pricing structures
- Experience reconciling carrier invoices and handling freight-related discrepancies
- Knowledge of basic accounting principles and accounts receivable workflows
- Ability to work cross-functionally with operations and customer service teams
