Job Description
- Load batches of prepped, confidential documents into high-speed document scanners, ensuring proper alignment and preventing jams or damage to the records.
- Operate and monitor industrial-grade, high-volume document scanners, adjusting settings (e.g., resolution, color depth, duplex/simplex) based on document type and project specifications.
- Perform routine maintenance on scanners (e.g., cleaning lenses, rollers) and quickly troubleshoot minor equipment and software issues to minimize downtime and maintain production flow.
- Maintain a high and consistent rate of productivity to meet daily and weekly digital volume targets.
- Perform a rigorous, page-by-page quality assurance review of all scanned images against the physical documents to ensure:
- Accurately apply indexing data (metadata) to digital files based on established naming conventions (e.g., patient ID, date, document type, client name) for proper storage and retrieval in the Document Management System (DMS).
- Rework or rescan documents that fail the QA check and document all errors in the production log.
- Ensure all scanned images are correctly uploaded and tracked within the secure DMS before physical records are moved to final disposition.
- Handle all documents and digital files with utmost confidentiality, strictly adhering to [Insert specific regulations: HIPAA, GLBA, corporate security policies] and non-disclosure requirements.
- Follow documented procedures for the secure hand-off of prepped and scanned documents to the archiving or destruction teams.
- Complete daily production logs, error reports, and machine maintenance records accurately and on time.
- Proficiency with standard office equipment and basic computer skills.
- Must be able to pass a background check.
- Possesses an innate attention to detail, understanding that a single misplaced or poor-quality scan can compromise an entire record.
- Capable of sitting, standing, and performing repetitive hand and arm motions necessary for continuous document manipulation and scanner loading.
