Position: Program Assistant

Location: Honolulu, HI

Pay: $20/hour

Experience: 1 year of experience in health care or working with Medicare or Medicaid, Gerontology, or working directly with the older adult population.

Education: College degree in business, social work, or related field.

Type: Full-time; Contract

Schedule: Monday through Friday, 7:45am to 4:30pm

Staffing Solutions of Hawaii is seeking a Program Assistant to join a growing and dynamic team!

Job Description

• Provide operational and administrative support to staff across program functions and daily tasks.
• Enter, monitor, and report data such as staff hours, mileage, and program activities.
• Maintain clear and professional communication with staff, volunteers, clients, and partner organizations via phone, email, mailings, newsletters, and in-person interactions.
• Draft, format, and proofread correspondence and documents for clarity and accuracy.
• Update, organize, and distribute program forms and informational materials.
• Assist with planning, coordinating, and facilitating staff training and meetings.
• Prepare and submit electronic documents; maintain a well-organized digital filing system.
• Design and implement tools and strategies for resource research and mapping.
• Create tracking systems and reporting tools to monitor projects and key initiatives.
• Oversee website content updates, provide user support, and perform routine site maintenance.
• Actively participate in team planning sessions, committee work, and collaborative initiatives.
  
  

Position Requirements

• Proficiency with computers, Microsoft Office programs, social media, and marketing strategies.
• Experience managing federal grants, budgets, and reports.
• Professional phone etiquette and customer service skills.
• Comfortable delivering community presentations to small and large groups.
• Effective written and verbal communication skills.
• Highly organized and detail-oriented.
• Comfortable standing for long periods and lifting up to 35 pounds.
