Job Summary
We are seeking an experienced Executive Assistant II to provide comprehensive administrative and secretarial support to senior executives in a fast-paced, professional environment. This onsite, temporary role supports daily executive operations and serves as a key liaison between executives, internal teams, and external stakeholders.
The ideal candidate is highly organized, exercises sound judgment, and is comfortable handling confidential information while working both independently and as part of a team.
Key Responsibilities
- Provide high-level administrative and clerical support to assigned executive(s)
- Manage executive calendars, schedule meetings and appointments, and proactively resolve scheduling conflicts
- Establish appointment priorities and reschedule or decline requests when appropriate
- Plan, coordinate, and support administrative and board-level meetings in compliance with organizational and regulatory standards
- Schedule meeting rooms, order catering, prepare agendas, and manage timely distribution of materials
- Attend meetings, take accurate minutes, transcribe notes, and coordinate follow-up actions
- Work directly with committee chairs, medical staff, board members, and other stakeholders as needed
- Serve as a liaison between executives and internal/external contacts, making independent decisions within scope
- Prioritize workload effectively to meet deadlines and operational needs
Required Qualifications
- High school diploma (proof of education required at submission)
- Minimum 3 years of experience in executive-level administrative support, including office and calendar management
- Strong organizational, communication, and time-management skills
- Ability to handle sensitive and confidential information with discretion
- Proficiency with standard office and scheduling tools
Preferred Qualifications
- Certified Administrative Professional (CAP)
- Professional Administrative Certification of Excellence (PACE)
