The Role
As our Patient Service Representative I, you will greet and assist patients, collect and verify demographic and insurance information, and ensure accurate registration in our electronic health record (EHR) system. This role focuses on creating a positive patient experience, providing clear information, and connecting patients to the services they need.
You will work closely with clinical and administrative teams to schedule appointments, manage patient check-in and check-out, assist with billing, and support sliding fee programs. Success in this role requires professionalism, strong communication skills, attention to detail, and a commitment to patient-centered care.
Key Responsibilities
- Provide welcoming, professional, and compassionate service to patients, clients, and visitors entering the clinic
- Verify patient demographic information, insurance coverage, and eligibility for sliding fee programs
- Enter accurate patient information into the EHR system and maintain HIPAA-compliant records
- Schedule, reschedule, and cancel appointments for multiple departments as requested
- Collect payments according to sliding fee programs and established guidelines
- Assist patients with completion of registration, billing, and program forms
- Answer incoming calls, screen, and route appropriately
- Collaborate with internal and external teams to guide patients to resources and services
- Complete pre-check-in chart preparation to improve efficiency and patient satisfaction
- Maintain effective communication and positive working relationships with patients and colleagues
- Complete required trainings, adhere to policies, and perform other duties as assigned
Desirable Candidate Profile
- High School Diploma or GED required; additional education in healthcare administration or related field a plus
- Minimum of 6 months experience in a medical or dental front office preferred
- Experience with electronic health records (EHR) systems, preferably EPIC
- Bilingual in Spanish/English preferred
- Knowledge of Medi-Cal, Medicare, managed care, third-party insurance rules, and billing preferred
- Strong written and verbal communication skills
- Knowledge of verifying insurance/program eligibility preferred.
- Excellent customer service and professionalism
- Ability to manage multiple tasks simultaneously, maintain accuracy, and meet deadlines
- Commitment to HIPAA compliance and patient privacy

Work Schedule
This is a full-time position, typically 40 hours per week, scheduled Monday through Friday. Work hours may vary based on patient volume, appointments, or clinic needs.
Compensation and Benefits
Pay is based on experience, qualifications, and internal equity. The anticipated starting pay range for this role is $20.27 to $23.31 per hour.
