Job Overview
We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and ensure smooth administrative functions. Responsibilities
- Manage daily office operations, including front desk duties and multi-line phone systems
- Oversee calendar management and schedule appointments for staff and executives
- Coordinate event planning and logistics for company meetings, training sessions, and special events
- Supervise administrative staff and provide training & development opportunities
- Handle vendor management, including negotiating contracts and maintaining supplier relationships
- Oversee human resources functions such as onboarding, payroll processing, and employee records management
- Maintain bookkeeping records using QuickBooks or similar accounting software
- Assist with budgeting, expense tracking, and financial reporting
- Ensure filing systems are organized and up-to-date for easy retrieval of documents
- Manage medical office operations if applicable, including patient scheduling and record keeping
- Support office management tasks such as supply ordering, facility maintenance coordination, and policy implementation
- Uphold professional communication standards with clients, vendors, and team members through phone etiquette and clear correspondence
Skills
- Proven experience in office administration or related roles with strong clerical and organizational skills
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
- Experience in event planning, vendor management, and human resources functions
- Strong communication skills with excellent phone etiquette
- Ability to supervise teams effectively while fostering a collaborative environment
