We are seeking a skilled and organized Administrative Assistant to join our team and support the operations of our school.
Job Summary
The Administrative Assistant will collaboratively manage the office functions of St. John Bosco Catholic School and support the principal, ensuring accuracy, transparency, and compliance with federal, state, and diocesan regulations. This role requires strong organizational skills, attention to detail, and the ability to work independently while collaborating with staff, the Diocese of Green Bay, and other stakeholders. The ideal candidate is a people person with a commitment to upholding the values of the Catholic Church.
Primary Responsibilities
· Greet and assist students, parents, and visitors, ensuring a welcoming environment while managing secure entry systems, such as electric door locks, to maintain building safety.
· Handle incoming phone calls, routing them appropriately and providing courteous, professional responses.
· Assist the school principal and other office staff with daily tasks, following their guidance to support smooth school operations.
· Perform clerical duties, including data entry, document preparation, and record management, utilizing modern office technology and demonstrating adaptability in learning new systems. Previous knowledge of any student information or management system is a plus, specifically, PowerSchool.
· Manage calendars for school events, meetings, appointments, coordinating with all school partners to ensure operational efficiency.
· Monitor and care for students who are unwell, communicate with parents as needed, and administer medications in accordance with school policies.
· Compile and submit required reports to state, diocesan, and other regulatory bodies, ensuring accuracy and timeliness.
· Foster collaboration with colleagues, parents, and the wider Catholic community to promote students’ academic, emotional, and spiritual growth.
· Assist in planning and executing school-wide events, such as fundraisers or community outreach to strengthen the school’s mission.
· Track and order office supplies, ensuring resources are available for the staff and classrooms.
· Manage basic financial accounting tasks, including tracking funds flowing in and out, processing bank deposits, and maintaining accurate financial records in collaboration with the bookkeeper, principal, and volunteers.
· Enhance the school’s digital presence by maintaining or assisting with updates to the website, posting announcements, sharing photos, or distributing news, as directed.
· Actively participate in staff meetings, professional development opportunities, and school events to contribute to the school’s mission and community.
· Other duties as assigned.
Qualifications
- Strong organizational skills with a keen attention to detail.
- Ability to work independently and manage multiple priorities effectively.
- Excellent interpersonal skills and a friendly, approachable demeanor.
- Proficiency in computer software, including Microsoft Office and Google, with a desire and ability to learn systems to support the operation of the school.
- Proficiency in, or demonstrated ability to quickly learn, student information systems (e.g., PowerSchool), donor database management, and related tools; experience supporting financial processes and audits preferred.
- Commitment to upholding the values and teachings of the Catholic Church.
- A sense of humor and a positive attitude.
Working Conditions
- This position is primarily office-based at St. John Bosco Catholic School.
- Occasional extra hours and availability may be required during fundraising events or during school activities.
- The role involves collaboration with school staff, the Diocese of Green Bay, and external vendors.
