POSITION SUMMARY:
The Scheduler is responsible for coordinating and scheduling patient testing, procedures, and admissions. This role ensures accurate patient information entry, obtains insurance authorizations, and facilitates communication between patients, providers, and departments to support efficient operations.
ESSENTIAL FUNCTIONS:
- Schedule patients for ancillary, surgical, and medical testing, procedures, and admissions while ensuring proper staffing availability
- Obtain physician orders and pre-certification/authorization and enter procedures into the Order Entry System
- Ensure accuracy and consistency between scheduling and admissions systems
- Communicate with patients and physician offices regarding out-of-network carriers or benefit issues
- Provide patients and offices with instructions, preparation requirements, and necessary documentation
- Maintain awareness of next-day scheduling reports to ensure readiness of registration staff and clinical departments
- Enter and verify accurate insurance and patient information in scheduling/registration systems
- Answer incoming calls and assist with scheduling inquiries
Education:
- High school diploma or equivalent required
- OR a minimum of three (3) years of directly related experience may be substituted
Skills and Abilities:
- Strong critical thinking skills and decisive judgment
- Ability to work independently with minimal supervision
- Ability to function effectively in a fast-paced, potentially stressful environment
- Excellent organizational and time management skills
- Ability to prioritize tasks based on patient and departmental needs
- Proficiency in operating standard office equipment (computer, copier, phone, fax, scanner)
- Computer proficiency required
Additional Requirements:
Reports to: Patient Access Supervisor – Scheduling/Pre-Registration
FLSA Status: Non-exempt
Minimum Work Experience:
- Prior scheduling experience in a healthcare environment strongly preferred
- Medical terminology knowledge preferred
- Billing and/or collections experience preferred
