POSITION SUMMARY:
The Office Coordinator is responsible for supporting clinic operations by ensuring compliance with federal and state regulations, managing financial processes, and assisting with administrative coordination. This role also provides support for staff development, recruitment, payroll processes, and electronic health record (EHR) system maintenance. The Office Coordinator reports to the Physician Practice Manager and operates in a non-exempt capacity.
ESSENTIAL FUNCTIONS:
- Monitor a general electronic mailbox and complete and/or distribute tasks accordingly
- Run and distribute a variety of weekly and monthly reports, including provider on-call schedules, availability calendars, billing reports, and documentation reports
- Coordinate efforts supporting staff development, recruitment, payroll, and student engagement activities
- Serve as first-line support for the electronic health record (EHR) system, including basic troubleshooting
- Maintain EHR data integrity by merging duplicate charts, unlocking records, and updating pharmacy and practice information
- Assist with administrative and operational projects as assigned
- Ensure compliance with company policies, procedures, and regulatory requirements
Education:
- High School Diploma or equivalent required
Skills and Abilities:
- Strong critical thinking skills and decisive judgment
- Ability to work independently with minimal supervision
- Capable of functioning effectively in a fast-paced and sometimes stressful environment
- Strong organizational and multitasking abilities
- Effective communication and coordination skills
- Basic technical proficiency with electronic health record systems and reporting tools
- Ability to take appropriate action in a variety of situations
