What are the responsibilities and job description for the Office Coordinator position at Spike Logistics LLC?
Office Coordinator — Spivey Logistics (Appleton, WI)
Job Type: Full-time or Part-time (flexible for the right candidate) Pay: Competitive, based on experience Location: In-person — Appleton, WI
About Us
Spivey Logistics is a veteran-owned delivery and logistics company that started in 2017 with a single truck and trailer and has grown entirely through word of mouth. We serve luxury private clients, interior design firms, and commercial customers across the country. Our reputation is built on white-glove service, reliability, and doing what we say we'll do — and we're looking for an Office Coordinator who takes the same pride in their work.
About the Role
You'll be the organizational backbone of our operation — the person who keeps schedules tight, clients informed, and paperwork moving so our crews can focus on deliveries. This is a hands-on role in a growing company, which means real responsibility and real opportunity to grow with us.
What You'll Do
- Answer phones and emails, and serve as the first point of contact for clients.
- Schedule deliveries and coordinate daily routes with the owner and crew.
- Process quote requests and follow up with prospective clients.
- Prepare invoices, track payments, and keep records organized.
- Maintain and update our scheduling and communication tools.
- Support the owner with day-to-day administrative tasks.
What We're Looking For — Read Carefully
Show up and want to be here. Dependability is non-negotiable. We're a team, and everyone counts on everyone. We want someone who's genuinely engaged, takes ownership of their work, and treats this like a career move — not just a paycheck.
Be coachable. We give honest, constructive feedback because we want you to succeed. The right person welcomes that feedback, learns from it, and improves.
Be computer and email savvy. You should be comfortable managing a busy inbox, writing clear and professional emails, working in Google Calendar/Drive, and learning new software quickly (scheduling tools, CRM, invoicing). We'll train you on our specific systems, but the fundamentals need to be there on day one.
Also Great to Have
- Prior office, dispatch, customer service, or administrative experience.
- Strong phone etiquette and a friendly, professional demeanor.
- Attention to detail — catching the small stuff before it becomes a big problem.
- Experience with QuickBooks, HubSpot, Jotform, or similar tools (a plus, not required).
Why Join Us
- Smaller-company environment where your work is seen and valued.
- Direct access to ownership — no layers of management.
- Room to grow as the company grows.
- A team that works hard and has each other's backs.
